Marine Surveyors Pro ("we," "us") is professional marine-survey software for boat and yacht surveyors, available at marinesurveyorspro.com and as iOS and Android apps. This policy explains, in plain language, what information the service handles, where it goes, and the choices you have. It applies to the website, the mobile apps, and shared report links.
What we collect
- Account information — your email address, name, password (stored only as a secure hash by our authentication provider), professional credentials, license details, and any company name or logo you add for your report letterhead.
- Survey content you create — everything you enter while working: vessel details (including hull identification numbers and registration), inspection findings and notes, photographs, voice-dictated text, measurements, cost estimates, valuations, claim details, signatures, and the names and contact details of vessel owners, buyers, insureds, and clients that you choose to record.
- Documents you upload — PDFs of prior survey reports or scanned field forms, when you use the import features.
- Support messages — anything you send through the in-app Feedback & Support feature.
- App usage — when you sign in, when the app is open and in use and for how long, and whether you used the installed app or a web browser. These records hold times and durations only, not what you typed or viewed. They are kept in our own database, not sent to an analytics company, and only Marine Surveyors Pro administrators can see them.
We do not collect advertising identifiers, browsing history, or contacts, and we do not use third-party analytics or advertising trackers.
How your information is used
Only to operate the service: signing you in, storing and syncing your surveys across your devices, generating and delivering your reports, powering the optional AI features described below, sending the emails you request, and responding to your support messages. App-usage records help us understand how surveyors use the service so we can support them and improve it. We do not sell or rent your information, and we do not use it for advertising.
AI features (what leaves the app, and when)
Some features use Google's Gemini AI service, only when you actively use them:
- Import Survey / Field Form upload — the document or photos you upload are sent to Gemini to extract the vessel details, findings, and (for damage reports) claim information into a new survey.
- Draft with AI — the facts already in your survey are sent to Gemini to draft narrative text for your review.
Nothing is sent to any AI service in the background or without your action, and AI output is always presented for your review — never published automatically. Content processed by Gemini is subject to Google's terms, which may permit Google to use submitted content to improve its services. Avoid uploading documents you are not comfortable processing this way.
The service sends email on your behalf when you ask it to — report deliveries to your clients (with you copied), shared-report links, account confirmations, and support-conversation notifications. Email is delivered through Resend, our email provider; message content passes through their systems for delivery.
Storage & security
- On your device — the app is offline-first: your surveys are stored in your browser's or the installed app's local storage, so your work is held on the device rather than only in the cloud. Anyone with access to your unlocked device and browser profile can access that local copy, so use a device passcode.
- In the cloud — surveys and account data are stored with Supabase, our database and authentication provider, on infrastructure hosted in the United States. All traffic uses encryption in transit (HTTPS/TLS).
- Access control — database-level security rules ensure each surveyor's account can only read and write its own surveys. Administrative access is limited to operating the service and providing the support you request.
- Website hosting — the website itself is hosted by IONOS, which maintains standard web-server logs (IP address, pages requested) as virtually all web hosts do.
No system is perfectly secure, but we design for the sensitivity of survey work: your data is never shared between accounts, never sold, and never used beyond running the service.
Shared report links
When you create a shareable report link, a read-only copy of that report — including photos and any personal details it contains — becomes viewable by anyone who has the link, without a login, until the link expires or you revoke it from within the app. A shared report is read and printed only; nothing is collected from the person viewing it. Treat share links like the confidential documents they point to.
Your clients' information
As a surveyor, the details you record about vessel owners, buyers, insureds, and clients are yours: you decide what to enter, what to share, and when to delete it. We store and process that information on your behalf and take no other action with it. You are responsible for handling your clients' information in line with your own professional and legal obligations.
Data retention & deletion
- Your surveys and account data are retained while your account is active, so your records are there when you need them.
- You can delete individual surveys at any time from within the app.
- You can delete your entire account (Account → Delete My Account). This permanently removes your account, your surveys, and your share links from the cloud database. Routine backups age out on a rolling basis afterward.
- App-usage records are deleted automatically after about 13 months, and immediately with your account.
- To also remove locally cached data from a device, sign out or clear the app's site data on that device.
Service providers
We use a small number of providers, each only for the purpose described:
- Supabase — database, authentication, and server functions (primary data storage).
- Google Gemini — AI extraction and drafting, only when you use those features.
- Resend — outgoing email delivery.
- Cloudflare Turnstile — the automated security check on the sign-in, create-account and password-reset screens. To tell people from bots it processes technical signals from your browser and your IP address, under Cloudflare's privacy policy. It does not see your surveys or your password.
- IONOS — website hosting.
- Apple App Store / Google Play — app distribution, under their own privacy terms.
Cookies & tracking
The app uses your browser's local storage strictly to keep you signed in, to hold your offline survey cache, and to hold app-usage records until they upload. There are no advertising cookies, no third-party analytics, and no cross-site tracking. The one third-party component on our screens is the Cloudflare Turnstile security check described under Service providers; it is there to stop automated sign-ups, not to track you.
Children
Marine Surveyors Pro is a professional tool and is not directed at children under 13, and we do not knowingly collect information from them.
Changes to this policy
If this policy changes materially, we will update this page and its effective date. Continued use of the service after a change means the updated policy applies.
